Smarter Invoice & Payment: Invoice Lifecycle

The invoice progresses through three stages—Estimate, Open, and Closed—each with distinct features tailored to business needs.

Written by Marina

MoeGo's Smarter Invoice & Payment manages billing throughout an appointment, from booking to final payment.

Invoices progress through three stages: Estimate, Open, and Closed. Each stage determines which billing actions and updates are available.

Key Benefits

  • Clear Status Tracking: Easily distinguish between draft (Estimate), pending (Open), and finalized (Closed) invoices.

  • Pre-Service Transparency: Share estimates with clients upfront, including deposits, taxes, and discounts.

  • Post-Checkout Integrity: Lock finalized invoices to ensure accurate reporting, payroll, and accounting.

  • Flexible Adjustments: Make supported billing updates after Check out only while the associated invoice remains unlocked, and use the appropriate refund or post-payment workflows once billing is finalized.

Estimate Invoice (Pre-Check-In)

An Estimate invoice is automatically generated when an appointment is created. It provides an overview of expected charges before the service begins.

🔍 Use Case: A client books a daycare stay and receives an estimate with deposit details before their appointment.

View Estimate invoice

🔍 Available on both web and app

  • Go to Appointment Details > View Estimate

  • Details Shown: Services, fees, taxes, discounts, and deposits paid.

🔍 Available on web for now. Support for the app is under development.

  • Go to appointment details > View Estimate > Click on email widget

  • Customize (signature, notes, staff info)

  • Input the email address

Print Estimate invoice

🔍 Available on web only.

  • Customize (signature, notes, staff info)

  • Print or Export PDF.

Open Invoice (Post-Check-In)

An invoice automatically moves from Estimate to Open when the pet is checked in.

During this stage, you can manage eligible charges and benefits while the appointment is active. You can also print or email the Open invoice when needed.

🔍 Use Case: A dog checks in for boarding, and the front desk adds a grooming service during the stay. The additional service is reflected in the invoice.

  • Continue Editing: Add grooming services, products, or adjust discounts.

  • 💡Note: Boarding/daycare services cannot be edited after check-in, but grooming services/add-ons/products can.

  • Apply benefits: Use store credit, memberships, or packages.

Checkout and Payment

When an appointment is ready to be completed, select Start checkout.

Smarter Invoice & Payment separates completing an appointment from collecting payment, giving you flexibility over when an appointment is marked Finished and when payment is collected.

Checkout Options

You can choose between two checkout actions:

  • Check out only: Marks the appointment as Finished without collecting payment. Supported billing adjustments remain available while the associated invoice is unlocked.

  • Check out and charge: Marks the appointment as Finished and initiates payment collection.

Undo an accidental check-out

If an appointment was marked Finished by mistake, use Undo check-out to restore it to its previous status and continue providing services.

This option is available for eligible appointments before the associated billing is locked. Staff must have the can edit ticket permission.

Editing After Checkout

After selecting Check out only, certain billing details can still be updated before the first subsequent payment is collected.

  • Promotions, discounts, and tips: Eligible changes remain available.

  • Grooming services: Existing service prices and assigned staff can be updated.

  • Boarding and daycare: Service details cannot be edited after checkout.

  • Adding or removing services: Not supported after checkout.

📝 Note: An invoice can become locked before payment is successfully collected, such as when a Pay Online request generates the formal invoice. Once locked, the original invoice cannot be edited, even if an outstanding balance remains.

Closed Invoice (Post-Checkout + Full Payment)

A Closed invoice means the invoice lifecycle is complete and the original invoice can no longer be edited.

🔍 Use Case: A business completes checkout and collects the remaining balance. The invoice reaches Closed status and the original invoice can no longer be reopened or edited.

If an additional charge or tip is needed after the original invoice is Closed, use Extra Charge or Extra Tip, which creates a separate invoice.
