Want to keep clients coming back regularly? The Rebook Reminder helps you automatically remind customers to schedule their next grooming appointment based on their preferred grooming frequency.

This feature helps you:

  • Stay organized with client rebooking schedules

  • Reduce missed grooming cycles

  • Maintain a fuller calendar

  • Increase revenue from repeat clients

Rebook Reminder - Timely And Regular Grooming

How Rebook Reminder Works

The Rebook Reminder automatically sends reminder messages when a client is due for their next appointment but has not booked yet.

The reminder timing is based on the client’s preferred grooming frequency.

Example

  • Lily’s grooming frequency: every 5 weeks

  • Last appointment: Jan 16, 2025

  • Expected next appointment: Feb 20, 2025

If you set the reminder to send 7 days before the expected appointment, Lily will receive the reminder on Feb 13, 2025 if she has not booked yet.

⚠️ Important:
If a client passes their expected appointment date without booking, they will automatically be marked as a Lapsed Client.

  • Rebook reminders will not be sent automatically to lapsed clients.

  • You can still manually resend reminders or create workflows to re-engage them.


How to Use Rebook Reminder

🖥️ Desktop

Step 1: Set Grooming Frequency

The grooming frequency determines when a client should receive a rebook reminder.

  • Default grooming frequency: 4 weeks

  • Frequency is set per client (not per pet).

Set Default Frequency for All Clients

Go to: Settings → Business → Default Settings

This will apply to all new clients automatically.

You can also select Apply to all, which updates the preferred frequency for all existing clients.

⚠️ This action cannot be undone.

Set Frequency for an Individual Client

Go to: Client Profile → Settings → Service Preference

You can set up grooming frequency and other preference like preferred groomer here. The actual frequency based on appointment history will also be displayed for your reference.


Step 2: Enable Rebook Reminder

You can customize:

  • When reminders are sent

  • The message template

To enable the reminder:

  1. Go to Settings

  2. Select Auto Message/Communication

  3. Click on Additional Reminder → Rebook Reminder

  4. Turn the status toggle ON

  5. Set the send date and time

  6. Edit the Rebook Reminder message template

You can choose when the reminder will be sent: on the expected date, 1–7 days before the expected date, or 2–4 weeks before the expected date.

The expected date is calculated based on the client’s grooming frequency and the date of their last completed appointment.


Step 3: Check Rebook Reminder Status

You can view which clients need to rebook within the next 30 days directly under rebook reminder by click on "view list for the next 30 days"

Or you can Go to: Auto Reminders → Rebook Reminder

Here you can:

  • View upcoming reminders

  • Track reminder status

  • Manage the reminder list

Dismiss a Reminder

Click Dismiss to remove a client from the upcoming reminder list.
The system will not send the reminder at the scheduled time.

Lapsed Clients

Clients who pass their grooming frequency without booking are automatically marked as Lapsed Clients.

To view them: Auto Reminders → Rebook Reminder → Lapsed Clients

Find Lapsed Clients in Client List

Go to:

Clients & Pets

Then filter by:

  • Client Status → Lapsed Client

Step 1: Set Grooming Frequency

Go to: Client Profile → Customer Preference → Preferred Frequency

You can review the client’s past appointments to determine the best grooming interval.

Step 2: Enable Rebook Reminder

Go to: Settings → Auto Reminder

Then:

  1. Turn on Rebook Reminder

  2. Set the send date and time

  3. Edit the reminder message template

Step 3: Check Reminder Status

Go to:

Notifications → Reminders → Rebook Reminder

You can:

  • See clients who need to rebook in the next 30 days

  • Adjust reminder settings

  • Manage reminders

Tap the scheduled send time to quickly access the reminder settings.

Dismiss a Reminder

Tap Dismiss to remove the client from the upcoming reminder list.

Lapsed Clients (App)

Go to: Notifications → Reminders → Rebook Reminder → Lapsed Clients

From here you can:

  • Tap the Message icon to resend the reminder

  • Mark the client as inactive

  • Dismiss the client from the list

You can also filter them in the client list:

Clients & Pets → Filter → Category → Lapsed Clients


Frequently Asked Questions

Is the Rebook Reminder an auto message?

  • Yes. Rebook reminders are counted as automated messages.


How do I disable rebook reminders for a specific client?

  • Go to: Client Profile → Settings → Notifications

  • Turn off Marketing Campaigns notification

Can rebook reminders be sent by email?

  • Yes.

  • Go to: Client Profile → Settings → Notifications

  • Select Email for Marketing Campaigns.

What happens if the grooming frequency has already passed?

  • The system will not send reminders automatically.

  • You can manually resend reminders from the Lapsed Clients list.

Will the reminder send if the client already has an upcoming appointment?

  • No.

  • Rebook reminders are only sent when the client does not have an upcoming appointment scheduled.

If a reminder is dismissed, how can it be triggered again?

  • The client must:

    1. Book a new appointment

    2. Complete the appointment

  • After that, the reminder cycle will restart.

If dismissed, how can a client return to the lapsed client list?

  • The client must:

    1. Book and complete a new appointment

    2. Become overdue again based on their grooming frequency

  • At that point, they will appear again in the Lapsed Clients list.
