Set Up Leads Management

How to enable Leads Management and configure lifecycle stages, action statuses, channels, custom fields, and role permissions before your team starts using it.

Leads Management gives your team a structured way to capture and follow up with potential customers before they become clients. This article walks you through the full setup β€” from enabling the feature to configuring permissions β€” so everything is ready before your team starts using the Leads Dashboard.

Step 1: Enable Leads Management

Go to Client Management > Leads > Settings and toggle Leads Management on or off.

When Enabled

When Disabled

  • Incoming inquiries from supported channels are captured as leads β€” not clients.

  • The Leads Dashboard becomes available.

  • You can track leads through lifecycle stages, assign tasks, and log interactions.

  • Staff can manually add leads using the Add Lead button.

  • The Add Lead button is hidden. No new leads can be created manually.

  • Incoming inquiries follow the behavior set by your Auto-create client profiles setting (see note below).

  • Existing leads remain accessible β€” you can still view, edit, delete, or convert them.

πŸ“ Note: How call-ins and SMS inquiries are handled

MoeGo has a legacy setting called Auto-create client profiles for incoming calls/SMS, found at Settings > General Settings > Advanced Settings.

How it interacts with Leads Management depends on whether Leads Management is on or off.

If Leads Management is ON:

  • Call-ins and SMS inquiries are always captured as leads, regardless of the Auto-create setting.

If Leads Management is OFF:

  • Auto-create ON: Call-ins and SMS inquiries are automatically created as client profiles (named "123456_call" or "123456_sms").

  • Auto-create OFF: Call-ins and SMS inquiries are not saved as leads or clients. They appear as new visitors in your calling activity and can be added as clients manually.

Step 2: Customize lead lifecycle stages

Lifecycle stages define the journey a lead goes through β€” from first contact to conversion. MoeGo includes default stages, but you can customize them to match your workflow.

Go to Settings > Customers & Pets > Leads > Lifecycle > Create new.

  • Keep stages simple and meaningful β€” fewer stages are easier for staff to maintain.

  • Avoid creating stages that are too similar to each other.

  • Use action statuses (Step 3) for more detailed tracking within each stage.

Step 3: Customize action statuses

Action statuses describe what has happened with a lead or what needs to happen next β€” for example, Connected, Voicemail, or In Progress. They give your team a quick way to see the state of each follow-up.

Go to Settings > Customers & Pets > Leads > Action Status > Create new.

You can assign a color code to each status. The color appears as the card background in Kanban View.

Step 4: Customize Channels

Channels track where each lead came from. MoeGo automatically tags leads from supported sources (calls, messages, Online Booking, intake forms). You can also add custom channels to track additional sources β€” such as social media, referrals, or walk-ins.

Go to Settings > Customers & Pets > Leads > Channel > Create new.

Step 5: Set up custom lead fields (Ultimate Plan🌟 )

If you're on the Ultimate Plan, you can create custom fields to capture additional information about each lead.

Custom fields appear in the lead profile and can be used as filters in the Leads Dashboard.

Go to Settings > Customers & Pets > Fields Management.

Step 6: Review role permissions

Before your team starts using Leads Management, make sure each staff role has the right permissions. You can control what each role can view, add, edit, delete, convert, and communicate.
