Leads Management permissions

How role permissions control what each staff member can access and do within Leads Management — including viewing, editing, converting, communicating, and reporting.

Role permissions control which staff members can access Leads Management and what actions they can take. The owner has full access by default. All other roles need to be configured.

To set permissions: Settings > Staff & Permissions > Role permissions > Leads Management.

Access lead fields

Enable Access lead fields to let staff view lead-related fields in Settings > Customers & Pets > Field Management.

You can also optionally enable:

  • Edit custom fields — lets staff add or edit custom lead fields

  • Delete custom fields — lets staff remove existing custom lead fields

What staff see: With this permission enabled, staff can open the Fields Management page and view lead-related fields.


View leads

Enable View leads to let staff view lead profiles. Choose the scope of access:

  • Individual client profile — staff can only view individual lead profiles, not the Leads Dashboard

  • At working businesses — staff can view all leads at the businesses they're assigned to

  • At all businesses — staff can view all leads across every business location

⚠️ Important:

If Individual client profile is selected, staff will not have access to the Leads Management dashboard. They can only view leads through:

  • Message Center

  • Abandoned Bookings

  • Intake Forms

What staff see: Staff can click the lead icon on a profile to navigate to the lead record.

Additional view permissions

Under View leads, you can also control whether staff can:

  • View lead email addresses and phone numbers

  • View lead history

  • View tasks

Add new leads

Enable Add new leads to let staff manually create new lead profiles.

What staff see: The Add Lead button appears in the Leads Management dashboard.

⚠️ Requires: View leads set to At working businesses or At all businesses. Staff without dashboard access cannot see the Add Lead button.


Edit leads

Enable Edit leads to let staff modify existing lead profiles. This includes two sub-permissions:

  • Edit lead information — lets staff update lead details, lifecycle stage, and action status

  • Edit tasks and notes — lets staff add, edit, or delete tasks, notes, and reminders

⚠️ Important: View leads must be enabled for edit permissions to take effect. Without it, staff see lead profiles in read-only mode.

Delete leads

Enable Delete leads to let staff permanently delete a lead profile and all its associated activity records.

Convert leads

Enable Convert leads to let staff convert a lead profile into a client profile.

What staff see: The Convert button appears in the top-right corner of the lead profile.

Communication

Control how staff can contact leads:

  • Send messages — send individual SMS to a lead

  • Call leads from web — make outbound calls using MoeGo Calling (Beta — only available if Calling is enabled on your account)

  • Send emails — send individual emails to a lead

  • Send mass SMS — send SMS to multiple leads at once

  • Send mass emails — send emails to multiple leads at once

What staff see: Staff can send messages or emails directly from the lead profile.

Reporting

Enable Reporting to let staff access Leads reports. You can choose whether staff can:

  • View reports

  • Export report data

⚠️ Important: Leads reports are located under Insights > Dashboard. To make them visible to staff, you must enable View reports > At working businesses. If View reports > Of their own is selected, the Leads report will not appear.

What staff see: Staff can view the Leads dashboard inside Insights.


Import leads (Beta)

Enable Import leads to let staff upload and import leads from a CSV file.

⚠️ Note: Import leads is a closed Beta feature and may not be available on your account.

What staff see: Staff can go to Leads Management > Options > Import Leads to upload a lead list.

⚠️ Requires: View leads set to At working businesses or At all businesses. Without this, the Import Leads option will not appear.

Access lead settings

Enable Access lead settings to let staff access and edit lead-related settings in Settings > Customers & Pets. This covers:

  • Leads Management on/off toggle

  • Lifecycle stages

  • Action statuses

  • Lead channels
